Speak Up Policy
Planet Nusa welcomes concerns about how our activities or business relationships may affect people, the environment or responsible business conduct. This policy explains what the public Speak Up channel is for and how we handle submissions.
The Speak Up channel is a voluntary stakeholder grievance channel. It is separate from our internal whistleblower scheme for work related reports. Employees who wish to use the internal scheme should follow the information provided internally.
Who can use the channel
Customers, suppliers, business partners, workers in our value chain, community members and other people affected by Planet Nusa's activities may contact us through the Speak Up channel.
What the channel covers
The channel may be used for concerns about human rights, labour conditions, environmental impacts, corruption or other conduct connected with Planet Nusa or our business relationships. You may also use it when you believe that our actions or decisions have caused or contributed to a serious negative impact.
Employees should normally use the relevant internal grievance process for routine employment matters. Serious work related concerns may be reported through the internal whistleblower scheme where its scope applies.
Other contact and complaint channels
Planet Nusa also receives feedback and complaints through:
- Customer Care at hiya@planetnusa.com
- Trustpilot at https://dk.trustpilot.com/review/www.planetnusa.com.
These are additional ways for stakeholders to contact us. Relevant concerns received through these channels may be forwarded internally for assessment under the appropriate process. Trustpilot is public. Do not include sensitive personal information or confidential details in a public review. The Speak Up channel is the dedicated contact for concerns covered by this policy.
How to contact us
Send your concern to speakup@planetnusa.com. Explain what happened, when it happened, who may be involved and how you or others were affected. Include relevant documents if you have them. You do not need to investigate the matter yourself.
Planet Nusa does not currently have a separate anonymous reporting system for the Speak Up channel. We therefore cannot offer or guarantee anonymous handling when a concern is sent by email.
If you prefer not to use your usual email address or provide your name, you are welcome to contact us from a separate email address that does not identify you. Please be aware that an email provider or technical information connected with the account may still make identification possible. We will assess messages without a name when we have enough information to do so, but we may be unable to ask questions or provide an update.
How we respond
The Head of ESG and Sustainability and a Co-Founder monitor the channel. We aim to confirm receipt within five business days and explain the next step. We assess each submission to decide whether it belongs in the Speak Up process, should be transferred to another function or requires urgent action.
Where a review is needed, we gather information that is relevant and proportionate. We aim to provide an update within 30 days. Some matters take longer. In that case, we will explain the expected timing when we can.
The outcome may include corrective action, changes to a process, further dialogue or referral to another appropriate body. The action will depend on the findings, Planet Nusa's connection to the matter and what the company can reasonably do. We may be unable to share details about other people, employment matters or confidential business information.
Fairness and conflicts of interest
We handle concerns fairly and without prejudice. A person named in a submission will not take part in handling or deciding the matter. If one of the usual case handlers has a conflict of interest, the other case handler will manage the concern. If both have a conflict, the matter will be assigned to another impartial senior person or an external adviser.
We do not accept retaliation against a person who raises a genuine concern. Deliberately false or abusive submissions may be rejected.
Confidentiality and personal information
We limit access to people who need the information to assess or address the concern. We may share relevant information with other Planet Nusa functions, professional advisers, business partners or authorities when this is necessary and lawful. We cannot promise that every detail or identity will remain confidential in all circumstances.
Planet Nusa processes personal information to receive, assess and follow up on concerns. Information is kept only for as long as it is needed for the case and related legal or documentation requirements. Further information about how we process personal information, including the legal basis, recipients, retention and individual rights, is available in our Privacy and Cookie Policy at https://www.planetnusa.com/pages/privacy-policy.
External mechanisms
You may also use relevant external complaint mechanisms or contact competent authorities where these are available. Using the Speak Up channel does not prevent you from using another available process.
